Client portal FAQ
Everything you need to know about your booking overview.
This is your personal overview of all bookings you made through The Ibiza Expert. You can see dates, times, status, guests, locations and, where available, download your confirmations.
Use the username you received from us (this is often your email address, unless we gave you a different one) plus the access code we sent you by WhatsApp. Without both, the portal will not show your bookings.
Just send us a WhatsApp message or email and we will resend your personal code. For your security, we never show or reset access codes directly inside the portal.
This extra step makes sure that only you (or someone you share the code with) can see your bookings, even if someone else knows your username. It keeps your plans a bit more private and secure.
There are a few possible reasons:
– You used a different email address for some bookings
– Your bookings are still being processed on our side
– The access code does not match the email you entered

In your Client Portal, each booking has a coloured status so you can quickly see what is going on:
Green – Confirmed (your booking is fully secured)
Yellow – Pending (we are still waiting for final confirmation)
Purple – Requested (we have requested this booking, but it is not confirmed yet)
Blue – Payment or CC required (we need your payment or card details to lock this in)
Orange – Planning (we are still building your schedule or venues are not taking bookings yet)
Red – Cancelled (this booking is no longer active)
If anything does not match what we discussed, send us a message so we can correct it.

Yes. If a booking has a PDF confirmation, you will see a “View PDF confirmation” button inside the card. You can open it, download it or forward it whenever you like.
We update the portal daily, but small changes can take a little time to appear. If something is super urgent or last minute (time change, number of guests, table type, etc.), always follow the information we sent directly on WhatsApp – that information is leading.
Only if they have both your username and your personal access code. If you do not want someone to be able to check your bookings anymore, ask us to generate a new code and we will update it for you.
The client portal is a read-only overview. For any changes or cancellations, please use the button “Modify planning” so we can check availability, venue policies and possible cancellation fees before confirming anything.
Your client portal shows bookings linked to your email or username. If your friends used different details, their bookings will appear in their own portals. If you want everything under one account, just let us know and we can link all group bookings together.
Yes. If you prefer a different arrival time, message us on WhatsApp and we will check availability with the venue. Some places are flexible, some work with fixed seatings — but we will always try to arrange your preferred time.
Often yes. Even when venues show “fully booked”, we can sometimes secure a table through direct contacts or last-minute releases. Not always guaranteed, but always worth asking — many of our hardest reservations came from “no availability” situations.
